What is document sharing?

With Buildout’s document sharing feature, you can share information with buyers, investors, principals and other brokers, capture their contact information and require signatures on electronic CAs directly on Buildout’s property websites.

In your Buildout account, you can organize your documents and easily move them around based on their necessary privacy. With different security settings for each folder, you can choose who can and cannot access property-related documents.

BUILDOUT’S DOCUMENT SHARING SECURITY LEVELS

  • Public: These documents are available on your website for anyone to access. You might use this security level for sharing flyers and other basic property information.
  • Locked: These documents are only available to a user after they fill out a form and sign an electronic CA. You might use this security level for sharing a property’s financial information or an OM with interested buyers.
  • Specific Users: These documents are displayed on a property’s website only for selected users, or individuals who you invite to access the documents. You might use this security level for sharing owner’s reports or due diligence files.
  • Private: These documents are not displayed on your property’s website. Only you can view them.

When do you use document sharing?

Buildout’s document sharing feature is most useful for brokers and marketers when acquiring and qualifying leads. When your team uses document sharing, they can choose to give users immediate access to documents, or require them to enter a waitlist before accessing. Through waitlist access, brokers or marketers can review verified individuals who have requested to view a document before granting them access.

Users can sign electronic CAs that are specific to their roles when they access documents through Buildout’s document sharing feature. If someone is a principal or buyer, they’ll receive a CA that is different from a broker’s.

Then, brokers and marketers can view all activity for their properties’ documents, like whether a user completed a CA, which documents users downloaded and how many times they downloaded them. With easier access to this information, your team can get a sense of which property leads are the hottest, build profiles for those leads and close deals even faster.
